OKCPS Foundation Volunteer Group Disclaimer, Waiver, and Code of Conduct
Thank you for your interest in volunteering with the Oklahoma City Public Schools (OKCPS) Foundation. Volunteer groups play a vital role in supporting OKCPS students and programs. To ensure the safety, success, and consistency of all volunteer efforts, please review and agree to the following Volunteer Group Disclaimer, Waiver, and Code of Conduct.
1. Eligibility & Background Check
All group volunteers must be 18 years of age or older, unless otherwise approved by the OKCPS Foundation in advance.
Each individual volunteer must complete and receive approval of a current OKCPS background check.
All volunteers must complete the OKCPS District Volunteer Application each school year:

2. Group Responsibility
Each volunteer group must designate a Group Lead/Coordinator who will serve as the primary point of contact.
The Group Lead is responsible for:
Sharing all requirements with team members
Ensuring that all volunteers complete required applications and trainings
Communicating attendance changes to the OKCPS Foundation
All group members are individually accountable for complying with this agreement.
3. Assumption of Risk
Some volunteer activities may include physical exertion such as standing for extended periods, climbing stairs, lifting up to 25 pounds, or working in classroom or campus environments.
By participating, all volunteers:
Voluntarily assume all risks associated with participation
Release the OKCPS Foundation, OKCPS, and their partners from liability for injury, loss, or damages arising from volunteer activities
4. Confidentiality
Volunteers must respect student privacy and maintain strict confidentiality
Volunteers are held to the same Code of Conduct standards as district staff
Volunteers may not photograph, record, or share any images or information about students
Confidential student matters must only be discussed through official channels
5. Professional Conduct
Volunteer groups represent both their organization and the OKCPS Foundation. All volunteers must:
Be supervised by a district staff member while on campus
Follow instructions from school personnel and Foundation staff
Sign in/out through the Raptor system and wear identification badges
Be reliable and communicate schedule changes promptly
Complete all required training prior to service
6. Volunteer–Student Interaction
Maintain professional boundaries at all times
Do not form personal relationships with students outside of approved activities
Do not provide:
Money or gifts
Personal contact information
Transportation
Medical care
Avoid being alone in enclosed spaces with a student
7. Appropriate Physical Contact
Permitted: handshakes, high-fives, brief supportive gestures
Prohibited: any unwelcome or inappropriate physical contact
Report any concerns immediately to staff
8. Non-Discrimination & Safe Environment
Volunteers must foster a safe, inclusive, and respectful environment
Discrimination based on sex, race, religion, disability, age, creed, color, national origin, sexual orientation, or marital status is strictly prohibited
Volunteers must not promote or discuss religious or political views or solicit business/services
9. Mandatory Reporting
Volunteers must immediately report any concerns involving:
Abuse, neglect, or sexual misconduct
Illegal activity or unsafe behavior
Reports may be made to school staff or via the OKCPS Hotline: (405) 587-STOP (7867)
10. Photography, Media & Communications (UPDATED FOR GROUPS)
Volunteers may not take photos, videos, or recordings of students at any time
Volunteer groups agree that:
All media engagement (including press, marketing, or public storytelling) must be coordinated through the OKCPS Foundation
The group will work directly with the OKCPS Foundation Communications Manager to develop any:
Media outreach
Social media posts
Public-facing content
Volunteer groups may only publish:
Approved photos provided by the OKCPS Foundation, and
Pre-approved messaging or captions
The OKCPS Foundation reserves the right to review and approve all public-facing content related to volunteer activities
Volunteers grant permission for the OKCPS Foundation to use images or videos of volunteers for promotional purposes
11. Discipline & Safety
Volunteers must not discipline students
Report behavioral issues to staff immediately
Follow all campus emergency and safety procedures
12. School Environment Standards
All campuses are smoke-free, drug-free, and weapon-free
The OKCPS Foundation and district may suspend or revoke volunteer participation at any time
13. Cultural Awareness
Volunteers are expected to respect and embrace diversity across all identities and backgrounds
14. Volunteer Group Agreement
By signing below, we acknowledge and agree that:
All participating volunteers have read and will comply with this document
Each volunteer will complete required applications, background checks, and trainings
Our group will maintain professionalism, confidentiality, and safety standards
We will follow all restrictions, including:
No photography of students
No gifts, money, or personal contact sharing
No transportation or medical assistance to students
No promotion of political, religious, or commercial interests
We will coordinate all communications and media with the OKCPS Foundation Communications Manager and only post approved content
We understand participation may be revoked at any time
